Batch PDF Export for InDesign

Stop exporting InDesign files one by one.

When a production contains dozens or hundreds of Adobe InDesign documents, exporting every file manually quickly becomes repetitive.

Open a document. Export a PDF. Choose the preset. Wait for the export. Close the document. Open the next one.

Then repeat.

Batch PDF Export automates repetitive PDF production workflows for Adobe InDesign.

Select a folder, choose your existing PDF export preset, launch the process — and let the script handle the rest.

It can also detect missing links, missing fonts and overset text while generating a detailed production report.

Designed for real production workflows.

Why this tool exists

Adobe InDesign already provides powerful PDF export options.

For a single document, the native workflow is straightforward.

The problem changes when a production contains:

  • dozens of InDesign documents
  • recurring PDF exports
  • multi-file publications
  • catalogues
  • chapters or separate sections
  • production folders
  • files that require the same PDF export preset

At that point, the problem is no longer:

"How do I export this InDesign document to PDF?"

It becomes:

"How do I export all these InDesign documents without repeating the same process over and over?"

Batch PDF Export automates that repetitive workflow.

One folder. One process.

Instead of manually opening every document:

Project/
├── Cover.indd
├── Chapter-01.indd
├── Chapter-02.indd
├── Chapter-03.indd
└── Chapter-04.indd

Select the source folder, choose your PDF export preset and run the batch process.

The generated files are automatically organized inside a dedicated output folder:

Project/
├── Cover.indd
├── Chapter-01.indd
├── Chapter-02.indd
├── Chapter-03.indd
├── Chapter-04.indd
│
└── PDF/
    ├── Cover.pdf
    ├── Chapter-01.pdf
    ├── Chapter-02.pdf
    ├── Chapter-03.pdf
    └── Chapter-04.pdf

Key features

  • Batch export multiple Adobe InDesign documents
  • Use your existing PDF export presets
  • Detect missing links
  • Detect missing fonts
  • Detect overset text
  • Continue processing if an individual file fails
  • Automatically create a dedicated /PDF output folder
  • Generate a detailed production report
  • Remember the last used source folder
  • Remember the last used PDF export preset

Use your existing PDF presets

Batch PDF Export works with your existing Adobe InDesign PDF export presets.

This means you can continue using your established production settings for:

  • print-ready PDFs
  • proof PDFs
  • review copies
  • client delivery
  • archived exports
  • publication workflows

Instead of manually applying the same preset to every document, select it once for the batch.

Production checks during export

PDF generation is often one of the final stages of a production workflow.

Before exporting, it can be useful to identify problems that may affect the final output.

Batch PDF Export can detect:

  • missing links
  • missing fonts
  • overset text

The results are included in the detailed production report.

This helps turn a repetitive export operation into a more controlled production workflow.

Fail-safe batch processing

Large production folders are not always perfect.

A document may fail to export because of a file-specific problem.

Instead of stopping the entire process, Batch PDF Export is designed to continue processing the remaining documents.

The batch can therefore continue while recording the results in the generated report.

This is particularly useful when processing:

  • large document collections
  • catalogues
  • publications
  • recurring production folders
  • client projects containing many InDesign files

When does batch PDF export make sense?

Project size Recommended approach
1 document Native InDesign PDF export
A few documents Manual export may be sufficient
10–20 documents Batch export can reduce repetition
Dozens of documents Automation becomes increasingly useful
Hundreds of documents Batch processing can save substantial production time
Recurring projects Standardized automated workflow

There is no reason to automate a task that only takes a few seconds.

But repeatedly opening documents, applying the same preset and exporting PDFs can quickly become a significant production task.

Batch PDF Export is designed for that point.
